Try and locate a place suitable to your needs from the Schools, University library or the Church basements and meeting rooms provided by them.
If they are not available for the day you are seeking, then, you may have to meet at a far away location away from your neighborhood.
A personal visit and a face to face meeting with the respective people will enable you to know the facilities and other systems and devices available at that location and you will find that it will be the best manner of keeping in touch and will come handy just in case you will ever need the same for reuse in the future.
I have used the library facilities with projector and screen often. {FREE}
